Health and Safety policy

Man and Van Shacklewell Health and Safety Policy

Man and Van Shacklewell is committed to providing a safe and healthy working environment for all employees, contractors, customers, and members of the public who may be affected by our removal and transport activities. This Health and Safety Policy sets out our approach to managing risks associated with moving, lifting, loading, unloading, driving, and working in and around customers premises and vehicles.

Policy Statement and Objectives

Our objective is to prevent accidents, injuries, and work-related ill health by identifying hazards, assessing risks, and implementing effective control measures. We will comply with all relevant health and safety legislation, regulations, and approved codes of practice that apply to our removal services. Health and safety is an integral part of the way we plan and deliver our work, not an addition to it.

Management is responsible for ensuring this policy is implemented and maintained, and that adequate resources are provided for training, supervision, equipment, and monitoring. Every worker has a responsibility to follow safe systems of work, use equipment correctly, and cooperate in maintaining safe working conditions.

Roles and Responsibilities

Senior management is responsible for setting health and safety standards, reviewing performance, and ensuring continuous improvement. They will make sure that risk assessments are carried out, that safe working procedures are developed, and that any necessary personal protective equipment is provided and maintained.

Supervisors and team leaders are responsible for day to day implementation of this policy, briefing staff before jobs, checking vehicles and equipment, and ensuring work is carried out in line with our safe systems. They must report and investigate incidents, near misses, and unsafe conditions.

All employees, including drivers and porters, must take reasonable care for their own safety and that of others who may be affected by their actions. Staff must follow training and instructions, use equipment safely, report hazards or defects promptly, and never undertake tasks for which they are not trained or physically capable.

Risk Assessment and Planning

Before starting a removal or transport job, we assess the risks involved in the specific task and location. This may include access routes, stairs, lifts, parking, traffic conditions, manual handling requirements, and any fragile or heavy items. Where possible, we obtain information from customers in advance so we can prepare suitable equipment, vehicle types, and staffing levels.

On arrival at a property or site, staff carry out a dynamic risk assessment, checking for trip hazards, poor lighting, obstructions, uneven surfaces, and any changes since the booking was taken. Work will not proceed if conditions are unsafe. Control measures may include using additional staff, changing the lifting method, adjusting the route, or rescheduling the work.

Manual Handling and Lifting Safety

Manual handling is a core part of removal work and is a key area of risk. We are committed to reducing manual handling risks through planning, mechanical aids, and correct techniques. Wherever practicable, we use handling equipment such as trolleys, dollies, straps, ramps, and lifting aids to minimise physical strain on staff.

All staff receive training in safe lifting and carrying practices, including posture, team lifts, load assessment, and the importance of not exceeding personal limits. No employee is expected to move items that are too heavy, awkward, or unstable to be handled safely. Items that are unusually heavy or high value are assessed individually, and additional measures may be put in place.

Vehicle Safety and Driving Standards

Our vehicles are essential to our removal services and must be operated safely at all times. Vehicles are regularly inspected and maintained so they are roadworthy and suitable for the loads carried. Drivers are required to perform basic pre use checks and report any defects immediately. Loads must be distributed and secured to prevent movement during transit, using appropriate restraints and protective materials.

Drivers must obey road traffic laws, follow safe driving practices, and adjust their driving to suit weather, traffic, and road conditions. Fatigue, alcohol, drugs, or any impairment that could affect safe driving are not tolerated. Mobile phones and other distractions are managed in line with safe driving principles, and hands free devices are used only where lawful and safe.

Safe Working at Customer Premises

When working in and around homes, offices, storage facilities, and other premises, we aim to protect both our staff and the people on site. Staff are briefed to respect property, follow any site specific safety rules, and keep walkways as clear as possible while moving items. Where necessary, we will cordon off work areas or use signage to alert others to potential hazards.

Particular care is taken with stairs, narrow corridors, and doorways. Staff will coordinate movements and communicate clearly to avoid collisions, trips, or damage. Where there are children, pets, or vulnerable persons present, we may request that they remain clear of work areas for their own safety.

Equipment and Personal Protective Equipment

We provide and maintain appropriate equipment to carry out removal work safely, including lifting aids, protective blankets, straps, and ramps. Equipment is checked regularly and taken out of service if damaged or defective. Staff must not use equipment they have not been trained to use.

Where risk assessment identifies the need, personal protective equipment such as gloves, safety footwear, or high visibility clothing is issued. Staff are required to wear and care for this equipment as directed. PPE is not a substitute for safe systems of work but used as an additional protective measure.

Training, Communication, and Consultation

Health and safety training is provided at induction and refreshed periodically. This includes manual handling, vehicle safety, incident reporting, and our procedures for working at customer premises. Additional training is given if tasks, equipment, or legislation change.

We encourage open communication about safety matters. Employees are invited to raise concerns, suggest improvements, and report hazards without fear of reprisal. Safety information and updates are shared through briefings and internal communications so that everyone understands their responsibilities.

Incident Reporting and Continuous Improvement

All accidents, injuries, near misses, and dangerous occurrences must be reported as soon as possible. We investigate incidents to identify root causes and take corrective action to prevent recurrence. Lessons learned are shared with staff and reflected in updated risk assessments and procedures.

This Health and Safety Policy is reviewed regularly and whenever there are significant changes to our operations, legislation, or identified risks. By working together and following this policy, Man and Van Shacklewell aims to deliver removal services that are efficient, professional, and safe for everyone involved.
